Move archived items to another archive folder
Hi
I have a little question on ho to anticipate on these requests.
For a customer we have created archive folders with retention
For example we have a 4 years and 7 years archive folder and retention setup accordingly
Now have users who wan to switch from the 4years to the 7 years folder
Not a big issue for new archived items as we can add then to teh 7year group instead of the 4year group.
However how can we move the items previously archived n teh 4 years folder to the 7 years folder?
Do we need to restore this to the mailboxor can we proces this in the background
thnx
Tom

It might be a good idea to open an request for enhancement through EMC Support team. Which should allow users to copy data from one archive to another archive before retention is over.

Greetings,
One method could be to copy messages using Admin Search from one archive to another archive. It would not remove those messages from 7 year retention though. You can remove them but how would you know that all messages were only for this specific user ? Those messages could have belong to users for both archives. If messages are in 7 year retention archive, it might/might-not make sense to copy to archive folder with lower retention. It all depends on how you need compliance.
There was an user delete option added recently due to laws in EMEA. That might be leveraged for admins to copy emails from 7year retention to 4 year retention folders and then users to delete references from 7year archive folder. Email will stay in archive till last user reference is deleted.
Thanks,
Rajan

Hi Rajan
Yes that would be a solution, but the effort is huge if your talking about a site with 100 users.
I guess we could give the users acces to copy their email to a 7years folder?
As regulations changes a lot, i do mis a handy feature to anticipate to this issue.
Any other suggestions are welcome
Thnx

Greetings,
I believe we will not be able to give permissions to users because it’s part of Admin Search to copy between the archives.

I was hoping when combining administrator and owner rights to a folder it might be possible?
Its impossible to make these efforts on a 2year base when regulations changes
Kind regards
Tom

I will do that, as i think it could be very usefull.
Are we sure 6.8 doesn't contain a fucntion like that?
Is there a full new feature list of 6.8 available?
thnx

Hi Tom,
You can copy the archived messages to different archive folder via Admin Search. You don't need to restore the messages to mailbox it will be done at SourceOne end.
Giving admin permission to users is not a good idea. Who knows what a big mess it could make to your environment.
For new features in 6.8 please download Release notes from powerlink.

Hi Ajay
Thnx for your reply.
I am aware its possible to search for those mails via the admin search and copy them over.
However, in my situation we have retention folders created to meet country regulations
If the legitation changes and we need to move all date from users in country x to a new retention fodler this will be a hughe work.our country offices have between 500-1500 users.
At this moment restoring the data for those users to the mailbox and then re-archiving them into the new retention folder is the most cost-effevtive way
Therefore it should be nice to be able to speed up and simplify the process.
Regards
Tom
