SourceOne User Directed Archive questions

I have 2 questions on UDA activity. -Edit Messages are Archiving but they do not get replaced with Shortcuts. I'm using 6.5.1.1035

I have some messages that do not appear to be 'shortcutting'.  the icon doesn't change and the size of the message and attachment remains the same.  The messages are being archived.

To do this test I created an activity to archive UDA messages, then an activity to shortcut archived messages.

What am I missing?

My second question is …  A user has deleted a subfolder from their UDA folder in Outlook.   Most of the messages in the subfolder had already been short-cutted.  How can I restore this to their Outlook folder?  Will SourceOne restore the subfolder they created?   In addition to this – if they created another subfolder with the same name, how will SourceOne handle this?  Will it populate the folder with the shortcuts that were there previously?

To answer your first question, ensure that the messages in the UDA folder match the criteria defined in the shortcut activity. If you are using received date or modified date, you want to be sure the dates selected match the criteria and so on.

In regards to the icons not changing, that is controlled by the Outlook forms installed. Ensure you have them installed properly. See the SourceOne Installation guide for more details on installing forms. Check the message class on the message from Outlook has changed from IPM.Note to IPM.Note.ExShortcut.

You can enable detailed logging in the activity to get a report on what was processed and what was skipped.

Regarding size of messages not changing, If the messages are indeed IPM.Note.ExShortcut messages, the message size may be smaller than the stub that replaces the message.

To answer the second question regarding a deleted UDA folder. The UDA activity will recreate the deleted folder structure but will not replace the shortcut messages in the folder. You can perform a search using the SourceOne Web Search and restore the messages to the folder and then run another shortcut activity against the UDA folder. If the user manually created a folder with the same name of the deleted UDA folder, the shortcut activity will shortcut that folder unless the original folder still exist with the different name, then it would fail.

Lastly, I see that you are on SourceOne 6.5 which has reached it's end of life. There has been a lot of changes since 6.5. I highly recommend upgrading to the latest version of SourceOne. Please visit https://support.emc.com to check out the latest updates.
