How many weeks/months of live mail to YOU keep in Users mailboxes? Poll.
Hello,
We keep 3 months of active mail in our user's mailboxes. Currently (and for the last 2 years) we have not delete any mail from the Xtender DB.
I was just wondering what other companies are doing, big or small.

We also run User Cache on all workstations, desktop and laptop. Running Outlook 2007 / Exchange 2007.

Active Mailbox: 3 months
All Mail or just attachments etc: All
Keep Message Body: No
Outlook users Cached?: 100%
Do you Delete Archived Mail?: No

well, I have customers with very different requirements. You cannot delete EX data when archiving for compliance purposes. - But with EX you can still shortcut data. On the other hand, shortcutting mailbody information is possible (I actually do this), but there are technical considerations/limitations, that apply and can users "mail"-life very painful.
Mail Platform: Exchange 2003
Active Mailbox: 1 month and then shortcuts are set
All Mail or just attachments etc: Attachments are shortcutted
Keep Message Body: Yes
Outlook users Cached?: 50%
Do you Delete Archived Mail?: No
With another customer, I run this config:
Mail Platform: Exchange 2003
Active Mailbox: 3 months and then shortcuts are set

Outlook users Cached?: 100%
Do you Delete Archived Mail?: No
I have done various analysis of the data on domino and exchange servers. The attachments definitely take up the most space (between 80-90%), since you can write many mails to equal the size of a 1MB attachment.

We have strated using EmailXtender since 9 Months, from that date we haven't yet deleted mails from active mailbox. But our Policy will be either 9 months or 1Yr, depends upon the POC.
Mail Platform: Lotus Notes 7.
Active Mailbox: 9 months.
Shortcut: Mails older than 60 Days.
All Mail or just attachments etc: All.
Keep Message Body: Yes.
Do you Delete Archived Mail?: No.

Therefore the answers might change later.
For now:
Mail Platform: Exchange 2003
Email Client: Outlook 2007
Active Mailbox: 3 months
All Mail or just attachments etc: Shortcut Attachments only
Keep Message Body: (in Exchange) yes
Outlook users Cached?: 0% at this time. Planend for future
Do you Delete Archived Mail?: Not yet
Import PST data directly into EX ?: Planned. Experimental only at this point.
Outlook Users get EX-Search add-in or Web-Search ? : No
Main reason to use EX ?: disk cost or e-discovery or records managment
