How do you help people deal with lack of Outlook Folders in EX ?
Hello,
A user might have an Outlook sub-folder under the InBox with a name of Receiving and another sub-folder called Shipping. This folder structure is very important to the user. After the emails are stored in the EX Email Archive system, this user would like to still have the ability to work with those folders. Perhaps he would like to search only within the "Shipping" folder , plus some other search critera.
However, it appears that EX does not know anything about the Outlook Folder names.
Is that correct ?
How do you help people deal with the lack of those Folders in the email archive ?
Do you ask the users to add "key words" into the body of the email and use that to replace the folder name ?
For example, they could add this ( folder-shipping ) to the signature/body of the email to make that a searchable word within EXsearch.
Outlook 2007
EX 4.81 Patch 655
Thanks.

I'd use the regular folder search function within Outlook to search items. Text is still present in the shortcut messages, so Outlook search itself should be able to parse through the shortcut messages without an issue.

At present EX does not save directory structure of the messages.
A lot of times EX Archives messages from the Journaling Mailbox and that is mailbox store level. As soon as message comes in and goes out journaling mailbox has the copy. Logically it would be hard to find out where users will be keeping those messages later on so i beleive this option might have not been seen as a viable solution when atchitects might ahve been working on it.
EmailXtract might be able to point to certain messages because it goes to the folders and then work on the messages, but again messages journaled from journaling mailbox that are deleted from users mailboxes wouldn't have made sense.
In short answer to your query is that EX does not maintain folder structures, when you use search plug-in its running againt EX server as opposed to users mailbox.
As mentioned earlier users can still use notmal search features in the outlook to an extent but for searches againt EX server folder search would nto work.
Modification of message subject might not be a good idea because then its not original message any more and EX will have to archieve it again due to change of subject. This will also make sense because in legal matters you do not want to give modified messages to the legal department instead you will be looking at giving original messages as well.
Hope this helps.
Thanks,
Rajan

Yes, I understand that EXsearch is for the "email archive" and Outlook Find is for the Mailbox.
We believe that many emails will be deleted from the Mailbox "many months/years" before they are deleted from the EX system.
Therefore I was referring to Searching when the email is stored only in the Email Archive.
Thanks.
