Archive only messages with attachments?

Hi All,

Is it possible to only archive messages that have attachments?

We are looking to reduce the size of our Public Folder database and only want to archive those messages which have attachments. We'll then run a shortcut task to shortcut only those messages that have attachments.

If we archive all messages we'll be archiving content that we don't need/want to. All we want are those messages with attachments.

The only way I can see to do it currently is by maybe using the message size option?

Just in case you are not aware, UDA is for User Directed Archiving

Greetings,

Yes that would be a hard call to only archive messages with attachments.

The only other thing I could think of is to use UDA, where you will ask users to put messages in the UDA folders that they want to be archived and shortcutted.

Otherwise message size option is the only thing I could think of, rules will not help either.

Still you can submit an request for enhavement through support who knows product management will consider it a viable feature.

Hi bsimes,

Since your goal is to reduce the size of your database you actually want to shortcut messages with attachments. Since shortcut task also archive messages you can do it by simply running a shortcut task to target messages with attachments only. I would also strongly suggest to include 'process only archived messages' as well to avoid any potential data loss. Data loss is possible in case you have created exclusion rules when configuring archives within EXAdmin.

Still it does not directly help, as one will have to archive ALL emails and shortcut only the ones with attachments.

Sorry, perhaps i am missing out on something, you can correct me in my wrong ways.

Messages that are in PF cannot be archived as it currently is with Realtime archiving, since they are not really traversing thru the Mailbox Store - for PF they are traversing Public Folder Store. Mailbox journaling is set on Mailbox Store level.

Since we cannot archive/shortcut in realtime, we have to use EmailXtract here.

Now, what speaks against archiving & shortcutting emails from PF using a task that will process messages from PF (select PF in EmailXtract GUI - if your profile has enough rights PF should be immediately displayed in Task GUI -, dont select any mailboxes nor servers, check "Process items only with attachments") ?

Whether we archive first and shortcut later or shortcut from the get-go is a matter of finesse - but it doesn't affect the basic functionality?

Sorry,

I missed the part that you are only looking to reduce size of PUBLIC FOLDERS. What I mentioned was for users mailboxes.

For Public folder as other user mentioned, archive emails and then shortcut only the ones with attachment. Just remember you will have to archive everything as there is no way to exclude messages that is does not have attachments.

Thanks for the replies guys.

Are you saying that a Shortcut Task will archive an email before it Shortcuts it?

I was operating on the assumption that to avoid data loss you HAD to run an Archive Task first, then a Shortcut Task to shortcut the mail that had first been archived.

I should point out that we don't use journaling. The only reason we are archiving/shortcutting mail is to control the size of our Exchange databases.

If we can get away with only running a Shortcut Task and not lose any email (because it will archive it before it Shortcuts) then that fixes my problem because you can tell a Shortcut Task to only Shortcut email's with attachments.

It is not recomended to run Shortcut Jobs without having "Only Previously Archived" option ticked, it is because of extra precaution you might want to take. As someone might have already suggested you in past, if something goes wrong with a message when it was sent by shortcut jobs for archival (e.g. AV software took it out, went to any of the BadDir's or rules excluded it) then you might have shortcuts that would not resolve because EX never got chance to archive it properly.

So be careful while using Shortcut Jobs without having "Only Previously Archived" option ticked.

I found the solution to only archive messages with attachments was to put an "*" in the attachment area in an Archive task.

This seems to have the effect of only archiving messages with attachments.
