Grouping Documentum discussions

How long is this "feedback" session going to take before critical changes are implemented; particularly the issue about the macro grouping all Documentum products under one notification group?  This morning I had a very large number of emails; above and beyond a reasonable amount.  If some timeline isn't offered as to an expected remedy for this major issue, then our options are limited to either turning off notifications or creating a filter - both of which are highly undesireable (and frankly unacceptable) since we need to be notified of customer issues.

Given that there is clear input from a number of sources even within this thread that the current approach of macro grouping is just plain not acceptable, what action plan is being taken to address and remedy these issues and what is that deliverable timeline?

Hi Nicholas,

we've had much feedback over the years indicating that we had too many silos.  Although it's obvious we can have to few as well, we don't want to go back to that old model - it created too much confusion to new users, and forced double-posting or mis-posting.  With tags, content can exist in more than one context.

So let's figure this out - what would the happy medium be?  How would you break up the Documentum discussions if you had to pick 5 categories?

Let's hear from all the Documentum users - once we have a solid list, we can start making changes in that space.

Hello Marc,

Exactly.  The product-level of granularity is a requirement for any solution; otherwise, there would be no way to filter on the desired product.

I beg to differ a bit. I do not care about notification as much as I do about scanning through new posts for Documentum. Being worked on so many of Documentum products, I used to scan through all the posts in Content Management Section of powerlink forum (old link: https://forums.emc.com/forums/category.jspa?categoryID=20 ). Now, I have to go to different sections to see the relevant posts.

This limitation could be resolved if individual users can subscribe to individual sections of the forums - just like favorites. This would be different then notifications and more like "My Forums" section. May be Erich can tell us if it is possible.

I think regrouping may make sense, but this will not solve the main issue. People in ECI team will want only notification on the ECI product.

People in full-text indexer team will only want full-text notification.

I mean this is why you introduced that many tags. because we need to have this difference.

So the solution is to have notification by tags or tags in the title or the body of the email.

Here's what I think would be a good start for Documentum. Please feel free to modify and/or refine.

Documentum

  • Development - Includes WDK, Webtop, DCM, WP, DFC, DFS, Task space, etc
  • Administration - DA, CIS, Records Management, Fulltext, DTS, SCS, etc.
  • Scanning - Captiva, Dispatcher, ISIS
  • All other products - Archive Services, Content Services, etc

Again, as you already mentioned, posts can be linked at multiple places if needed via tagging.

I want to reactivate this thread.  We've now got a few months behind us for people to get used to the new platform, and if I were to summarize the conversation above:

  1. we need to allow email notifications for very specific product spaces - these users aren't interested in the majority of the threads occuring in here
  2. make it easy to scan all of the content across the Documentum space - most users are Documentum generalists

#2 is easy - even if we create sub-forums, all of their content (and notifications) are visible at their parent's level

The trick here is to make #1 most effective.  To split up adminstrative and client discussions doesn't work so well as often the topics cross those lines.  The development-related topics might make sense to split out, but even those users tend to be interested in the other general content.  Where I see the most impact is in some very focused spaces, like:

  • Federated Search
  • Scanning Solutions

Our platform is quite flexible now, so I'd like to propose we start with a few like these, and see how it goes.  What others should we create?  I suggest that it be focused and not of interest to the majority of Documentum users.

FYI - we'd understood that we'd soon be able to have email notifications based on tags, which would address #1 - this no longer appears to be in the works, so we need to approach this differently.

Marc - I just saw this message and want to point out that since you posted this tags are appearing in the email messages and rules/filters can be built around them.

Also, another possible approach is to use /;, and set up a widget to "Watch a Tag".

We have now (as you will see in the announcement area of this forum) broke out 3 Documentum areas of discussion, into their own forums under Documentum.

The new areas are:

Documentum  CenterStage

Documentum  Scanning Solutions

Documentum  Search and Analytics

Please use them as you see fit and let us know what you think.
